Job Description

Robert Half is looking for a Senior Receptionist for an organization in Milwaukee, WI. This position plays a critical role in creating an exceptional first impression by overseeing front desk operations and ensuring smooth communication between staff, management, and visitors. This position requires a highly organized, professional, and personable individual capable of managing administrative tasks and supervising reception staff to maintain a well-functioning and welcoming front office environment. The Senior Receptionist drives efficiency, handles complex inquiries, and ensures consistency in customer service and administrative support.

Responsibilities:

  • Front Desk Operations: Manage all front desk activities, including greeting visitors, handling phone calls, and answering inquiries with professionalism and poise.
  • Administrative Support: Perform administrative tasks such as scheduling appointments, organizing meetings, distributing correspondence, and managing office supplies inventory.
  • Customer Service Excellence: Act as the first point of contact for guests and clients, addressing their needs promptly and ensuring a positive overall experience.
  • Coordination: Liaise between departments to facilitate seamless communication and operational efficiency within the organization.
  • Technology: Operate office equipment (e.g., phone systems, printers, and computers) and utilize software like Microsoft Office Suite and scheduling programs.
  • Problem Solving: Address and resolve challenges or issues that arise in daily reception operations with a proactive and thoughtful approach.
  • Compliance: Ensure adherence to company policies, procedures, and security protocols at the front desk.
  • Reporting: Track and report on visitor data, office supplies, and other operational metrics for management review.

Qualifications:

  • High school diploma required; an associate or bachelor’s degree preferred.
  • 3-5 years of experience in reception, administrative support, or customer service.
  • Strong interpersonal skills and ability to maintain composure in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and other office management software.
